Budget

First thing’s first: you have to find an event space that fits within your budget. Before you tour event spaces, you should keep this in mind. There’s nothing more painful than finding the perfect spot to host your event and then finding out that it isn’t within your budget. Make a list of venue choices that you can afford, or work with an event planner who will find options for you.

Get Creative with Venues

While you’re looking at the cost of venues and determining what you can and can’t afford, get creative with venues. Hotels and conference centers are popular event spaces, but what if you chose something totally unique? What about holding your event in a historical building? In a museum? At a botanical garden? On a yacht? At a public park? Consider which space will make your guests more likely to RSVP with a “yes.”

Choose a Date

When you’re looking for a venue, you’ll want to have a date in mind already, but be flexible. If the event space you want isn’t available on the exact day in October you want to book it for, is it open another day in October that you could book? Also consider that some event spaces book out months—and even a year or two—in advance.

Compile a List of Services

There are multiple services and restrictions you’ll need to consider at an event space. Does it have all the accommodations you need, including plentiful parking, security, catering, and decorating services? Is there a crew to help with set-up and take down? Make sure you understand how their food and beverage minimums work, or if you can use outside catering for anything. You’ll need to know if you must use their vendors and suppliers. If you have older guests attending or individuals with disabilities, is the venue accessible? If the space is outside, are there plenty of bathrooms and electrical hookups? An event planner can help you with this list of questions, but you’ll want these basic questions answered during a tour.
